Job Description
We are seeking an Area Parts & Warranty Administrator in Philadelphia, New York, to support multiple fleet maintenance locations with inventory, parts management, and warranty compliance. This role is ideal for someone with experience in service center operations, warehouse inventory, or parts administration. Candidates with a strong eye for detail and a background in multi-site support are encouraged to apply!
Duties & Responsibilities:
- Serve as the first point of contact for parts and warranty support across multiple maintenance locations.
- Manage and track internal parts transfers between sites using inventory systems.
- Review completed repair orders for missing details (e.g., parts, labor hours, complaint/cause/correction notes) to ensure warranty claims are valid.
- Maintain and update the internal parts catalog; research and cross-reference parts across various online sources.
- Promote 5S inventory practices and advise on stocking levels based on system data.
- Assist field teams in locating and sourcing hard-to-find parts.
- Follow up on work orders delayed due to backordered parts.
- Support compliance with parts, inventory, and warranty policies and procedures.
- Travel quarterly to assist with physical inventory checks and audits at area locations.
- Maintain a safety-first mindset and follow all company safety protocols.
- Perform other administrative duties as assigned.
Requirements:

Required:
- High school diploma or GED.
- 2–5 years of experience in one or more of the following areas:
- Vehicle service center operations
- Warehouse or parts distribution center
- Inventory control or parts storeroom management
- Use of parts systems such as DealerConnect, RepairLink, AssetWorks, or Maximo
- Ability to earn ASE Parts Certification after hire.
- Strong computer and data entry skills (Microsoft Office, inventory systems).
- Excellent communication and customer service skills.
- Strong organizational skills and ability to manage multiple tasks.

Preferred:
- Associate’s or bachelor’s degree in business, logistics, supply chain, or a related field.
- Knowledge of labor operation codes, repair procedure documentation, or VMRS (Vehicle Maintenance Reporting Standards) codes.

Compensation
- $69K Salary based on experience.
