Duties & Responsibilities:

• Coordinate and schedule field service work with customers and technicians.
• Create work orders, build repair estimates from technician findings, and manage follow-up repairs.
• Source, quote, order, and stage parts; track backorders, receipts, and returns.
• Track job status and workflow to support timely completion, accurate reporting, and clear priorities.
• Provide professional customer communication and documentation throughout the service process.

Requirements:

• Required:

  • 1+ years of experience in a service writer, dispatcher, service coordinator, or maintenance admin role (fleet, field service, or equipment service).
  • Experience scheduling work, coordinating with customers, and maintaining accurate work orders and service notes.
  • Parts sourcing experience (vendor quotes, ordering, receiving, tracking availability/backorders).
  • Ability to create estimates and follow-up repair plans using technician recommendations.
  • Strong computer skills (service/fleet software, email, spreadsheets) and accurate data entry.
  • Clear communication, organization, and follow-through in a fast-paced, multi-job environment.

• Preferred:

  • Experience supporting diesel and hydraulic service operations (heavy-duty trucks, aerial devices, or construction equipment).
  • Familiarity with job costing, purchase orders, and warranty/core return processes.
  • Prior experience supporting mobile technicians and multiple active service jobs.
